About The ACT Hub Platform
Actuate’s ACT Hub Platform is a building automation and management platform using AI for the management of portfolios of buildings with no facilities manager on site. The ACT Hub Platform features include mechanical system fault detection and diagnostics and key performance indicators with an automated work order system for predictive maintenance, alerts and notifications routed to the right stakeholders, automated lighting and thermostat setpoints and schedules that maximize both comfort and energy savings, and tracking of facility and equipment energy and operational performance. It additionally acts as an IoT hub for any facility device, control, sensor, or piece of equipment that may be monitored and optimized.
Job Description
Actuate is seeking a talented individual inspired by working within a fast-paced start-up environment to join our team in the role of Project Coordinator. The Project Coordinator holds a critical role on the Actuate team by making sure projects run smoothly and efficiently. This person will work closely with both internal and external stakeholders, most notably the Field Project Implementation Managers who hold ultimate responsibility for successful implementations.

Key responsibilities of the Project Coordinator include but are not limited to:
Manage all aspects of product ordering, shipping/receiving logistics, and inventory
Utilize multiple software interfaces and pre-commission hardware controls
Create sensor and controller kits for the field installation team
Participate actively in the design, creation, and documentation of tools, systems, processes required to manage projects and tasks efficiently
Create and prepare installation documents and work orders utilizing data from facility assessments and manufacturer documentation
Support on-site installation teams through remote commissioning of installed hardware
Work with field installation teams to monitor project status and assist with the maintenance of installation schedules and calendars
Create project status reports for both internal and external stakeholders
Assist with ensuring customer satisfaction with project progress and results, facilitating and documenting any problem resolutions
Manage RMAs and warranty claims
Qualifications
Required Qualifications
Bachelor’s degree or other education relevant to the position
3+ years of experience as a project coordinator or similar role
Strong organizational skills including multi-tasking and time management while handling multiple projects simultaneously
Strong competency utilizing software applications including Microsoft Excel
Experience with AI tools like ChatGPT, Claude, or similar platforms is a plus
Ability to quickly learn and master new software
A strong verbal and written communicator with fastidious attention to detail
Competency and interest in using basic tools to create installation hardware kits
Hands-on experience with power up and configuration of electronic devices
Comfortable with flexible working hours supporting installations in different time zones
An ability to thrive in a fast-paced startup environment, working both collaboratively and with a high degree of autonomy
Self-motivated with the ability to work independently while contributing to team goals
Ability to safely lift up to 50 pounds
A commitment and desire to make a positive social and environmental impact on the world
Preferred Qualifications
2+ years of experience working in the energy efficiency, renewables, or related industry
Driver’s License: The position may require some occasional travel particularly for on-site field training and opportunities to attend industry conferences and events
Network configuration and troubleshooting for device comms
